Bespoke staff training tracking platforms
Most organisations hold their training records in a spreadsheet that is out of date by the time anyone asks for it. UKAME builds councils, housing associations and companies a training tracking platform of their own: one record per member of staff, the status of every course they are required to hold, and the date each one falls due again.
- From a few staff to several thousand
- Your branding, your subdomain
- Data processing agreement included

What it does
Everyone's training, in one place, current.
The platform answers the question an auditor, a board or a client actually asks: who in this organisation has done the training they are supposed to have done, and when does it run out.
One record per member of staff
Name, job role, department and work email address. Staff are grouped the way your organisation is actually structured, so a head of service can look at their own teams rather than the whole payroll.
Every course, one status
Each person and each course meets in a single cell: completed, not started, or expired. The status is written in words as well as colour, so the report is readable for anyone using assistive technology.
Refresher dates that do not get missed
Training with a validity period expires on schedule. The record shows who is falling out of date before it becomes an audit finding rather than after.
Reporting for boards and regulators
Completion rates by course and by department, filtered to anyone outstanding or anyone expired, so the figure that goes into a board paper is the figure in the system.
Export to CSV
The full training matrix downloads as a spreadsheet. Evidence for an inspection, a tender return or an internal audit does not depend on us being available that day.
Bulk import of what you already hold
Staff lists and historic completions are loaded from a spreadsheet at set-up, so the platform starts with the training your people have already done rather than an empty page.
What it tracks
From the free awareness course to Awaab's Law and remediation.
One platform covers the whole training ladder, so an organisation is not running an awareness course in one system, live training attendance in another and a certificate folder in a third.
Free Mould Awareness training
The self-paced awareness course, delivered inside your own platform. Completions are recorded against the member of staff automatically.
Awaab's Law and HHSRS training
Awareness, Practitioner and Leadership attendance recorded against the staff who need it, which is the evidence base for a Phase 2 readiness position.
Mould remediation training (Tier 2 and Tier 3)
Attendance and certificate references for the technical and supervisory teams doing hands-on remediation work.
Your own in-house and third-party records
Training you deliver yourself, or courses your staff hold from other providers, can be included in the build so the matrix covers the whole picture rather than the UKAME part of it.
UKAME training is delivered by an IICRC certified trainer for mould remediation, and by a Specialist Disrepair and Awaab’s Law Consultant for the Awaab’s Law and HHSRS courses. See all UKAME training courses →
How a build works
Built around your training standard, not ours.
Every platform is scoped from scratch. The courses, the departments, the roles and the refresher periods are the ones your organisation has decided on.
What we set up
- Your own subdomain, carrying your logo and colours
- Registration restricted to your email domain, so only your staff can create an account
- Administrator, manager and staff roles, each seeing only what that role should see
- Your course list, with the refresher period set per course
- Your staff list and historic completions imported from a spreadsheet
- Reporting cut by department, service area or contract
What to expect
- A scoping session at the start, before any build work begins
- Six to eight weeks from go-ahead to delivery, confirmed at scoping
- A data processing agreement covering hosting, sub-processors, retention and deletion
- Support for your DPIA and any security questionnaire your organisation requires
- A one-off build fee plus an annual licence, quoted per organisation
- Staff training records only. As standard the platform holds no resident or tenant data
Who it is for
A few people or several thousand.
The platform is used the same way whichever end of that range you are at. What changes is the amount of structure needed at set-up.
Councils and ALMOs
Housing management, repairs, contact centre and compliance teams, tracked against a mandatory training standard set by the authority.
Housing associations
Evidence of competence across front-line officers, surveyors and inspectors, held in one place for board assurance and regulatory inspection.
Contractors and maintenance providers
Proof that the operatives sent to a client's properties hold current training, produced on request rather than reconstructed from certificates.
Remediation and cleaning companies
A live training matrix for tender returns and pre-qualification questionnaires, covering a handful of technicians or several hundred.
Managing agents and property managers
Training records across a managed portfolio, split by the client or the site each member of staff works on.
Any employer with a training standard to hold
The platform is built to the training matrix you set. It scales from a few people to several thousand without changing how it is used.
Already tracking cases as well as training?
The training tracking platform records who has been trained. The Awaab’s Law compliance dashboard is a separate product that tracks individual damp and mould cases against their statutory deadlines. They are separate things and can be quoted together.
Questions
Common questions.
- How many staff can the platform hold?
- There is no practical ceiling. The same platform works for a team of six and for an organisation of several thousand. Larger organisations tend to need more work on departments, roles and reporting hierarchy at set-up, which is scoped in the quote.
- Can it track training that UKAME did not deliver?
- Yes. Each build is scoped to your training matrix. Courses you deliver in-house, and training your staff hold from other providers, can be recorded alongside UKAME training so the record covers everything rather than part of it.
- Does it carry our branding?
- Yes. The platform runs on your own subdomain with your logo and colours. Staff sign in to something that looks like your organisation, not a third-party product.
- What data does it hold?
- Staff training records: name, work email address, job role, department and course completions. As standard it holds no resident or tenant data. Access is restricted by role, so a manager sees their own teams and a member of staff sees their own record.
- How long does a build take?
- Allow six to eight weeks from go-ahead, confirmed at the scoping session. Where your organisation has an internal IT or information governance review to complete, that runs alongside and should be started early.
- Will you sign a data processing agreement?
- Yes. UKAME acts as processor for the training records held in your platform, and a data processing agreement setting out hosting, sub-processors, retention and deletion forms part of the contract. We can complete a security questionnaire and support a DPIA.
- What does it cost?
- It is quoted per organisation, because the scope, the number of staff and the integration work differ every time. Pricing is normally a one-off build fee plus an annual licence. Get in touch for a quote.
